Trip Terms & Conditions
Trip Terms & Conditions
Effective date: October 31, 2025
Last updated: October 31, 2025
These Trip Terms & Conditions (“Trip Terms”) apply to all trips, retreats, group experiences, guided activities, meetups, and events (collectively, the “Trips”) offered or hosted by Shades of Nature (and, where applicable, A Sip of Tee). By booking a Trip, paying a deposit, or attending, you agree to these Trip Terms, our Terms of Use, our Privacy Policy, and our Shipping & Returns Policy.
If you do not agree, please do not book.
1. Who We Are
“Shades of Nature,” “we,” “us,” or “our” refers to the U.S.-based business operating out of Georgia. For certain Trips we may operate or market under “A Sip of Tee” or a similar brand name; these Trip Terms still apply.

2. What’s Included / Not Included
Each Trip page will list what is included. A Trip may include:
- lodging or camping/glamping accommodations (if applicable)
- certain meals or snacks
- group activities listed in the itinerary
- group transportation during the Trip (if stated)
- on-site host/trip lead
Unless the Trip page says otherwise, the following are not included:
- airfare or transportation to/from the Trip starting point
- airport transfers
- personal travel/medical insurance
- alcoholic beverages (unless stated)
- optional/free-time activities
- personal purchases, gear, or souvenirs
- medical costs
Always review the specific Trip page for exact inclusions.
3. Payments, Deposits & Due Dates
- A deposit is required to hold your spot. Deposits are non-refundable unless we cancel the Trip.
- Your Trip page or confirmation email will show your payment schedule and final due date. You must pay on time to keep your spot.
- If payment is late, we may charge a late fee or release your spot to the waitlist without refund of the deposit.
- All prices are listed in U.S. Dollars (USD) unless stated.
If we offer a payment plan through a third party (e.g. SquadTrip, Klarna, Afterpay), their terms also apply.
4. Your Cancellation (Guest Cancels)
Because we secure lodging, food, and activities in advance, we have to follow a clear cancellation policy.
If you cancel:
- More than 60 days before the Trip start date: deposit is non-refundable. Any additional amount paid may be refundable or converted to Trip credit minus any non-recoverable supplier costs (see Section 6).
- 30–60 days before the Trip start date: deposit is non-refundable; up to 50% of additional payments may be refundable or credited only if we can fill your spot and minus any non-recoverable supplier costs.
- Less than 30 days before the Trip start date: no refunds and no credits.
- No-shows or leaving the Trip early for any reason: no refunds.
If the Trip page for a specific Trip has different or stricter cancellation rules, the Trip page controls.
5. Transfers / Replacements
We understand things come up. In some cases, we may allow you to transfer your spot to another person who meets the Trip requirements.
- Transfers must be approved by us in writing.
- You are responsible for finding the replacement.
- You are responsible for any supplier/vendor name-change fees.
- If the Trip is within 14 days, transfers may not be allowed.
6. Non-Recoverable Supplier Costs
Some Trip costs are paid to third-party suppliers in advance — for example, cabins/lodging, transportation, guides, park fees, and activities. These amounts may be non-refundable to us.
If you cancel, we may deduct these non-recoverable supplier costs from any refund or Trip credit we offer, even if your cancellation falls within a normally refundable period.
7. Our Cancellation or Changes (Organizer Cancels)
We reserve the right to cancel, postpone, or modify a Trip if:
- minimum headcount is not met,
- weather, closures, or safety issues make the Trip unsafe,
- a supplier, venue, or property becomes unavailable,
- events outside our control occur (see Force Majeure).
If we cancel the Trip before it begins for reasons within our control, you may choose:
- a refund of what you paid to us for that Trip, or
- a credit toward a future Trip.
This is your sole and exclusive remedy if we cancel.
We are not responsible for airfare, rental cars, hotels before/after the Trip, lost wages, or any other third-party or incidental costs you incur related to the Trip.
8. Minimum Headcount
Most Trips require a minimum number of participants to run. If the minimum is not met, we may:
- move the Trip to different dates,
- offer you a Trip credit,
- or cancel and refund what you paid for that Trip.
9. Force Majeure (Events Outside Our Control)
We are not liable for any failure or delay in performing our obligations when the failure or delay is caused by events beyond our reasonable control, including but not limited to: severe weather, natural disasters, fire, flood, acts of God, strikes, labor disputes, government actions, war, terrorism, epidemics/pandemics, travel restrictions, park/trail closures, or failure of third-party suppliers.
In these cases, we may modify the itinerary, substitute activities, reschedule, or issue Trip credit in our discretion.
10. Assumption of Risk & Release
Many of our Trips involve outdoor, adventure, and travel activities, which have inherent risks. These risks may include, but are not limited to: slips and falls; uneven, wet, or icy terrain; altitude; weather changes; wildlife; water activities; transportation incidents; equipment failure; and the actions or inactions of other participants.
By booking and/or participating in a Trip, you:
- Acknowledge these inherent risks;
- Voluntarily assume all risks of injury, illness, loss, or damage arising out of or related to your participation, except to the extent caused by our gross negligence or willful misconduct;
- Agree to release and hold harmless Shades of Nature, its owners, employees, contractors, and trip leaders from any and all claims, demands, or causes of action arising from your participation in the Trip, to the fullest extent permitted by law.
We may also require you to sign a separate written Waiver / Release of Liability before or at the start of the Trip. If you refuse to sign, you may not be allowed to participate, and no refund will be provided.
11. Health, Fitness & Special Needs
You are responsible for determining whether you are healthy and fit enough to participate.
- Tell us about any medical conditions, allergies, dietary needs, or mobility limitations before the Trip.
- Bring any personal medications or gear you need.
- We may decline participation or modify activities for safety reasons.
- We recommend purchasing travel or trip-interruption insurance.
12. Code of Conduct
Our Trips are designed to be safe, inclusive, and welcoming. We may remove you from a Trip without refund if you:
- harass or endanger other participants or staff,
- are intoxicated or under the influence in a way that creates risk,
- refuse to follow instructions from trip leaders or venue staff,
- cause property damage or violate venue rules.
You are responsible for any damage charges imposed by a venue, property, or supplier due to your actions.
13. Media & Content Release
We frequently capture photos and video on Trips. By attending, you grant us permission to photograph, film, and record you during the Trip and to use your name, image, and likeness in our marketing, social media, website, and promotional materials, without additional payment to you.
If you prefer not to appear in content, please tell us in writing before the Trip and inform the trip lead on site. We will make reasonable efforts to honor your request, but background or group shots may still occur.
14. No Airfare or Consequential Damages
We do not book or manage your airfare unless specifically stated. We are not responsible for:
- airfare or airline change/cancellation fees,
- baggage or airport fees,
- additional hotels or transport you book,
- lost wages, loss of enjoyment, or other incidental or consequential damages.
Your sole remedy for a cancellation or change by us is the refund/credit described in these Trip Terms.
15. Limitation of Liability
To the maximum extent permitted by law, Shades of Nature, its owners, employees, and contractors will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any lost profits or data, arising out of or related to any Trip or these Trip Terms.
Our total liability for any claim arising out of or relating to a Trip will not exceed the total amount you paid to us for that Trip.
Some jurisdictions do not allow certain limitations; in that case, this limitation applies to the fullest extent permitted.
16. Indemnification
You agree to defend, indemnify, and hold harmless Shades of Nature, its owners, employees, contractors, and trip leaders from and against any claims, damages, losses, liabilities, and expenses (including reasonable attorneys’ fees) arising out of or related to:
- your breach of these Trip Terms,
- your negligent or wrongful acts,
- your violation of any third-party or venue rules.
17. Governing Law & Venue
These Trip Terms are governed by the laws of the State of Georgia, without regard to its conflict of laws rules. You agree that the state and federal courts located in Fulton County, Georgia will have exclusive jurisdiction over any dispute arising out of or relating to a Trip, and you consent to personal jurisdiction in those courts.
18. Changes to These Trip Terms
We may update these Trip Terms from time to time. The “Last updated” date above will tell you when we last made changes. Your continued booking or participation after changes are posted means you accept the updated Trip Terms.
